Built for how Indian gyms actually run
Most gym management software is designed for a Western front desk and then "localised" by swapping the currency symbol. Indian gyms run on a different rhythm. Your members hear from you on WhatsApp, not email. They pay by UPI, not a recurring card on file. And your accountant needs a proper GST invoice — the right GSTIN, the correct HSN, and a clean financial-year number series — before anything can be filed.
ClubMogo is the gym OS built for India. WhatsApp, GST and UPI are part of the core, not bolt-ons you configure later and hope work together. This page goes deep on those three, and on how they tie into one ledger so a renewal reminder, a payment and a compliant invoice are the same event rather than three disconnected ones.

WhatsApp-native member & lead communication
WhatsApp is where your members already are, so ClubMogo talks to them there — from the same system that holds their membership, dues and attendance.
Out of the box you can run:
- - Renewal reminders — before a membership lapses, not after, so a lapse becomes a nudge instead of a lost member.
- - Birthday and milestone messages — personalised from member data, sent automatically.
- - No-visit / win-back reminders — reach members who have stopped showing up before they quietly churn.
- - Bulk campaigns — announce a new class, a festival offer or a branch launch to a segment you choose.
- - Approved message templates — reusable, structured messages for the moments that repeat.
- - Automation triggers — a message fires off the event that should send it (membership expiring, dues outstanding, class booked), not off someone remembering to type it.
Because the messaging engine sits on the same member record as billing and CRM, the reminder already knows who is due, how much, and when — you are not exporting a list and pasting it into a separate WhatsApp tool. Availability note: WhatsApp comms are live and rolling out across gyms; ask us where your facility sits in the rollout.
Consent gating done properly: transactional vs marketing
WhatsApp is powerful precisely because it is personal, which is why Meta's own rules require you to earn the right to be there. Under the WhatsApp Business Messaging Policy, you may only message someone who has given you their number and opted in to hear from you, opt-ins are best collected per category of message, and members can opt out at any time — a request you must honour (business.whatsapp.com/policy; WhatsApp opt-in/opt-out FAQ).
ClubMogo builds this distinction in rather than leaving it to the operator:
- - Transactional messages — a renewal due, a payment receipt, a class booking confirmation. These are service messages a member expects from a business they belong to.
- - Marketing messages — offers, campaigns, promotions. These require explicit marketing consent, kept separate from service consent, and an easy way out.
Consent is tracked against the member and enforced at send time, so a member who has taken transactional updates but not marketing does not get swept into a campaign. That protects your WhatsApp sender quality — a flood of unwanted messages gets accounts flagged and blocked — and it keeps you on the right side of both Meta's policy and India's data-protection expectations.
GST-compliant invoicing: GSTIN, HSN, FY numbering, GSTR exports
For a registered Indian gym, "an invoice" is not just a receipt — it is a legal document with mandatory fields. Under Rule 46 of the CGST Rules, a tax invoice must carry the supplier's GSTIN, the HSN/SAC code for what was sold, the taxable value and the tax split, and a consecutive serial number, up to sixteen characters, unique for the financial year (CBIC Rule 46). That financial-year uniqueness is why a fresh series has to start cleanly each 1 April.
ClubMogo generates invoices that carry these fields by construction:
- - GSTIN + HSN on the invoice — your gym's GSTIN and the correct HSN/SAC against each line, so the invoice stands up to scrutiny.
- - Financial-year invoice numbering — a consecutive series that stays unique within the FY and rolls over cleanly, so you are not hand-managing number resets in a spreadsheet.
- - Tax split, coupons and split payments — discounts applied and the tax computed on the correct base, with part-cash-part-UPI settlements recorded against one invoice.
- - DSR and GSTR-ready exports — a Daily Sales Report for the desk, and exports structured so filing GSTR-1 (your statement of outward supplies, filed on the GST portal — GST portal guide) is a data pull, not a month-end re-keying exercise.
The point is not that the software "has GST" — it is that billing, tax and reporting come out of the same records, so the number your member paid, the invoice your accountant files and the revenue on your dashboard are the same number.
UPI and payments via Razorpay, with a POS till
Collection is built for how Indians pay. Through Razorpay, members can settle by UPI, card or netbanking, and every collection is tied back to a GST-compliant invoice — there is no separate, unreconciled "payments" world sitting beside your billing.
At the counter, a POS till handles walk-in sales, add-ons and part-payments. Split payments let a member pay part by UPI and part by cash on the same invoice. Pricing follows the Indian convention of being tax-inclusive, so the amount a member sees is the amount they pay, with the tax broken out on the invoice behind it.
Because payment and invoice are one event, a UPI collection immediately updates dues, revenue and the member's status — the front desk is never guessing whether a payment "went through in the other app."
How WhatsApp, GST and UPI work as one loop
Separately, each of these is useful. Together, on one ledger, they close a loop that most gyms run manually across three tools:
- 1. A membership is coming up for renewal. ClubMogo fires a consent-gated WhatsApp reminder to the right member at the right time.
- 2. The member pays by UPI via Razorpay — from the reminder, not from a queue at the desk.
- 3. That payment generates a GST-compliant invoice with the correct GSTIN, HSN and financial-year number, automatically.
- 4. The receipt goes back over WhatsApp as a link, so the member has proof instantly.
- 5. Revenue, dues and the DSR update in the same moment, and the GSTR export at month-end already contains that sale.
No re-keying between a messaging tool, a payment app and a billing sheet. One member record, one payment, one compliant invoice, one number that everyone downstream trusts.
The rest of the gym OS
WhatsApp, GST and UPI sit inside a full operating system for the gym, so the same member record drives everything else:
- - Biometric attendance — eSSL / ZKTeco devices via ADMS push, so there is no on-prem PC to babysit; plus speed check-in and kiosk/QR.
- - CRM — a lead pipeline on a kanban board, lead scoring, nurture/drip sequences, follow-ups, and capture from walk-ins and Google lead forms.
- - Memberships — plans, freeze/hold, transfer, a renewals worklist and dues tracking with one-click settle.
- - Classes & PT — schedules, bookings, waitlists and no-show handling; PT packages that burn a session automatically as it is delivered.
- - Staff — roster, time-off, payroll, and a genuinely deep commission engine (rules by staff, role or designation, revenue slicing and approvals), all under role-based access control.
- - Mobile — separate member and staff apps on iOS and Android.
- - Multi-branch — a cross-branch dashboard, member portability between branches, per-facility branding and consolidated revenue.
- - AI assistant — takes real actions from chat with confirm-before-write (log a follow-up, settle dues, freeze a membership, send a message), plus one-click AI workout and diet plans.
Your data stays in India, and migration is on us
ClubMogo is hosted in the India region, aligned to the Digital Personal Data Protection Act, 2023 (DPDPA), with encryption in transit and at rest.
Switching is meant to be painless. We do a done-for-you migration of your members and your full billing history — not just names and phone numbers, but the historical transactions your reporting and renewals depend on. You start on a 14-day free trial with no credit card, and there are no setup or migration fees.
On the roadmap — and what that means
We are careful to tell you what is live today versus what is coming. Two capabilities are on the roadmap and not shipped: an AI voice agent for calls, and CCTV-based occupancy and attendance. When you evaluate ClubMogo, treat those as direction, not as features you can switch on this week — everything described above is what the product does today.

FAQ
Can ClubMogo send WhatsApp messages to my members?
Yes. From the same system that holds memberships, dues and attendance, ClubMogo sends renewal, birthday and no-visit reminders, bulk campaigns and template messages, with automations that fire off events like an expiring membership or outstanding dues. WhatsApp comms are live and rolling out across gyms — ask us where your facility sits in the rollout.
Does ClubMogo handle WhatsApp consent and opt-outs?
Yes. It separates transactional messages (renewal due, receipt, booking confirmation) from marketing messages (offers and campaigns), tracks consent per member, and enforces it at send time so members who have not opted in to marketing are not swept into campaigns. This follows Meta's WhatsApp Business Policy, which requires opt-in and an easy way to opt out.
Are ClubMogo invoices GST compliant?
Yes. Invoices carry your gym's GSTIN and the correct HSN/SAC against each line, with the tax split shown, in line with the mandatory fields under Rule 46 of the CGST Rules. Discounts, coupons and split payments compute the tax on the correct base.
Does it support HSN codes and financial-year invoice numbering?
Yes. Every line can carry its HSN/SAC, and invoice numbers run as a consecutive series that stays unique within the financial year and rolls over cleanly each 1 April, as Rule 46 requires — so you are not managing number resets by hand.
Can I file GSTR-1 from ClubMogo data?
ClubMogo provides GSTR-ready exports and a Daily Sales Report structured so that filing GSTR-1 (your statement of outward supplies on the GST portal) is a data pull rather than a month-end re-keying exercise. Filing itself is done on the GST portal.
How can members pay?
Members can pay by UPI, card or netbanking through Razorpay, and the front desk can take payment at a POS till. Split payments let a member pay part by UPI and part by cash on one invoice, and every collection ties back to a GST-compliant invoice.
Where is my data stored?
In the India region. ClubMogo is aligned to the Digital Personal Data Protection Act, 2023, with encryption in transit and at rest.
Do you charge setup or migration fees, and can you move my old data?
